The right timeline depends on booth size, event rules, equipment, graphics, and scope. This guide provides a practical baseline, but every deadline should be checked against the current exhibitor manual.
As soon as participation is confirmed
Confirm goals, footprint, budget range, team needs, demonstrations, major equipment, exhibit direction, and rental availability. Collect the current exhibitor manual and identify the general service contractor, venue providers, and key discount deadlines.
After scope and footprint alignment
Approve the design, confirm graphics specifications, order any long-lead AV or furniture, finalize freight strategy, and prepare utility, internet, rigging, or hanging-sign drawings.
Before production release
Preflight graphics, place service orders, confirm labor windows, carrier appointments, target delivery instructions, on-site contacts, and installation documentation before releasing the approved scope.
Move-in, show days, and closeout
Complete quality control, pack field instructions, confirm staff travel and lead workflows, then document condition, changes, and next-show decisions during dismantle and return handling.

How early should we start a Chicago booth rental?
Start as early as possible. The actual schedule depends on the footprint, approvals, graphics readiness, fabrication scope, AV, hanging elements, freight plan, venue rules, and the show’s current service deadlines.
Can you coordinate labor and show services at McCormick Place?
Yes. We can coordinate the exhibit program with the event organizer, general service contractor, venue providers, and authorized labor. Internet and telecommunications at McCormick Place must be ordered through the venue's exclusive provider.
Do you provide a purchase option?
No. This site offers exhibit rentals and related program services only. We can design a rental program around your booth size, show calendar, brand standards, and budget.
